Job Description

We are seeking a highly skilled and detail-oriented Payroll Executive to oversee and manage our payroll operations with expertise and precision. The ideal candidate will be an expert in PayCom, have extensive multi-state payroll experience, and possess a thorough understanding of California Labor Law. This role requires strong analytical skills and the ability to proactively identify and mitigate areas of exposure to ensure compliance and operational efficiency.

Key Responsibilities:

- Payroll Management: Oversee end-to-end payroll processing using PayCom, ensuring accuracy, timeliness, and compliance with federal, state, and local regulations.

- Multi-State Compliance: Manage payroll operations across multiple states and under.multiple federal tax ID numbers, ensuring adherence to varying tax laws, wage regulations, and reporting requirements.

- California Labor Law Expertise: Apply in-depth knowledge of California Labor Law to ensure compliance with wage and hour laws, overtime regulations, meal and rest break requirements, and other state-specific mandates.

- Analytics & Reporting: Leverage strong analytical skills to generate payroll reports, identify trends, and provide actionable insights to leadership. Develop and maintain dashboards to monitor payroll performance metrics.

- Risk Identification: Proactively identify areas of exposure in payroll processes, including compliance risks, data inaccuracies, or inefficiencies, and implement corrective measures to mitigate risks.

- System Optimization: Serve as the resident PayCom expert, optimizing system workflows, troubleshooting issues, and training team members on best practices.

- Collaboration: Partner with HR, finance, and legal teams to ensure seamless payroll operations and alignment with company policies and objectives.

- Audits & Reconciliation: Conduct regular audits of payroll data to ensure accuracy and compliance. Reconcile payroll accounts and resolve discrepancies promptly.

- Employee Support: Address employee inquiries related to payroll, deductions, taxes, and benefits with professionalism and clarity.

- Process Improvement: Continuously evaluate and enhance payroll processes to improve efficiency, accuracy, and scalability.

Qualifications:

Experience:

- Minimum of 5+ years of progressive payroll experience, with at least 3 years managing payroll in a multi-state environment.

- Proven expertise in PayCom, including system configuration, reporting, and troubleshooting.

- Extensive experience with California Labor Law compliance, including wage and hour regulations, overtime, and employee classifications.

Skills & Abilities:

- Strong analytical skills with the ability to interpret complex data and identify trends or risks.

- Exceptional attention to detail and accuracy in high-volume, fast-paced environments.

- Proactive problem-solver with a demonstrated ability to identify and mitigate areas of exposure.

- Excellent communication skills, capable of explaining complex payroll concepts to diverse stakeholders.

- Ability to work independently and collaboratively in a team-oriented environment.

Education & Certifications:

- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.

- CPA certification is a plus

- Certified Payroll Professional (CPP) or similar certification is a plus.

Technical Proficiency:

- Advanced proficiency in PayCom is required.

- Strong knowledge of Microsoft Excel (pivot tables, VLOOKUPs, etc.) for data analysis and reporting.

- Familiarity with HRIS and ERP systems is a plus.

Preferred Qualifications:

- Knowledge of payroll tax compliance across multiple jurisdictions and multiple federal ID numbers.

- Prior experience leading payroll process improvements or system implementations.
