Job Description
The Chief Financial Officer is responsible for the company’s entire financial operation—from strategic oversight to the full execution of day-to-day financial tasks. This is a self-directed, hands-on role. The CFO directly manages all accounting, tax filings, reporting, compliance, banking relationships, and vendor controls. The position demands high technical expertise, strong operational rigor, and the ability to perform under pressure in a high-volume, fast-moving environment. Key Responsibilities: Hands-On Financial Operations
- Perform all accounting and bookkeeping duties, including:
- General ledger entries
- Bank reconciliations
- Accounts payable and receivable
- Invoicing, collections, and vendor payments
- Maintain accurate, GAAP-compliant books and financial records.
Vendor Invoice Verification and Dispute Resolution - Review and audit courier and logistics invoices (e.g., FedEx, UPS, DHL) for billing accuracy.
- Identify and dispute overcharges, rate errors, and duplicate billing with appropriate documentation.
Tax Compliance and Filings - Independently prepare and file:
- Form 1120S – corporate income tax
- Form 1040 – individual shareholder tax
- Tangible Personal Property Tax – annual filing
- Sales Tax Returns – monthly filings in all applicable states
- Ensure full tax compliance and maintain supporting records.
Financial Planning & Analysis - Create forecasts, budgets, and financial models.
- Analyze business performance and advise on key financial decisions.
- Develop margin strategies, cost controls, and operational efficiencies.
Cash Flow Management & Regulatory Compliance - Oversee cash movements across U.S. and international accounts.
- Track merchant account flows, reserves, and FX exposure.
- Ensure ongoing compliance with FinCEN, MSB, and AML/KYC regulations.
Bank Relationship Management - Manage all banking relationships, including business accounts, credit lines, merchant services, and FX platforms.
- Coordinate onboarding, maintain compliance documentation, and resolve disputes or holds.
- Negotiate terms, fees, and services with financial institutions.
Systems & Automation - Configure and manage QuickBooks and supporting systems.
- Implement automation tools for reconciliation and reporting.
- Maintain financial integration with internal and external platforms.
Stakeholder Reporting - Prepare monthly, quarterly, and year-end financial statements.
- Deliver reports for executive leadership, board members, investors, and external partners.
Requirements: - Exceptional Stress Tolerance and Decision-Making Under Pressure
- Proven ability to operate under tight deadlines, high transaction volume, and complex regulatory conditions.
- Fluent in Russian and English
- Required for communication across international teams, partners, and clients.
- CPA Required; Master’s in Finance, Accounting, or MBA Preferred
- Strong foundation in accounting, U.S. tax law, and compliance.
- 10+ Years of Direct Financial Experience
- Hands-on experience in bookkeeping, tax preparation, reporting, and compliance—without reliance on staff or outsourced providers.
- Strong Knowledge of GAAP, Tax Law, and Multistate Sales Tax
- Must include 1120S, 1040, property tax, and state-by-state sales tax management.
- Advanced Excel Skills
- Proficient in pivot tables, formulas, XLOOKUP, financial modeling, and data tools.
- Proficiency in Financial Systems
- Experience with QuickBooks, banking integrations, automation tools, and reconciliation platforms.
- Vendor and Invoice Control Expertise
- Demonstrated ability to audit and resolve billing disputes with logistics providers and service vendors.
- Strong Bank Relationship Management
- Proven experience opening and managing business bank accounts, handling compliance reviews, and negotiating banking services.
- High Integrity, Independence, and Attention to Detail
- Capable of owning all financial responsibilities with accuracy, structure, and accountability.
